Club Runs

Outside of these the club can authorise additional use via this process below, in effect creating additional club runs by the members. What we refer to as a club run is described by Queensland Transport in the SIV code as a ‘rally’ under the first dot point of allowable usage. This may involve one or more vehicles, of which at least one is required to be operated by a financial club member (the Run Leader and applicant of the process below). Other club members and guests may also participate, as per the regular club-organised run programme.

WARNING – THIS IS AN OFFICIAL CLUB RECORD YOU ARE CREATING. YOU MUST BE A PAID-UP FINANCIAL MEMBER OF THE CLUB TO ACCESS THIS SERVICE. ANY CLUB RUNS CREATED BY UNFINANCIAL MEMBERS WILL BE AUTOMATICALLY DECLARED INVALID AND REMOVED FROM THE CLUB RUN LOG. CHECK YOUR MEMBERSHIP EXPIRY DATE ON THE REVERSE OF YOUR MEMBERSHIP CARD BEFORE COMMENCING.

Follow this process to register your club run:

1. Work out your plan first, with the meet point location and start time, destination, reason for the run, and if it’s a long trip over multiple days, your return date. You will need to enter your registration plate ID (e.g. S10451) and if you’re planning an activity that will involve other vehicles also on the SIV scheme (whether they are in the club or not), then obtain their registration plate IDs too.

2. Open the Club Run Form below, which will open in a new window.

– Fill out your details, making sure you complete all fields. Enter the registration plate IDs of all vehicles participating separated by commas.

3. Click Continue and verify ALL of the data you have entered is correct.

4. Click Continue again and the contents of your form will be sent to the Club.

5. Within 5 minutes you will receive an email from the Club containing the contents of your form.

6. This email will serve as the Club Run Authority to show any Queensland Transport or Police Officer during the run. Carry it with you on the run in your vehicle either in a printed form, or in email form on your phone/ device.

7. Also forward the email to the operators of the other SIV scheme vehicles joining you. Similarly they need to carry the Authority in their vehicles in either printed or electronic form. This is especially important as their travel to the initial meet point with you may exceed the allowable test run limits under the scheme.

8. The Club Run Authority is also evidence of the club run for insurance purposes.

 The Club Run Authority will also be sent to the Club President and Club Activities Co-ordinator for record keeping and audit purposes. The event will also be recorded in the Club Run Log for the year.

FAILURE TO COMPLY WITH THE ABOVE REQUIREMENTS MAY RESULT IN POSSIBLE LOSS OF CONCESSIONAL REGISTRATION AND CLUB MEMBERSHIP.
